Task Boards keep task management inside the same application where team communication happens, removing the need to switch between a chat tool and a separate project tracker for lightweight project work. The Kanban column layout gives the whole Group a shared view of what is in progress, blocked, or done, which reduces the overhead of status update meetings.

How Task Board Works in Zoho Connect

A Task Board in Zoho Connect is a Kanban board available inside a Group. Each board has columns representing stages, such as To Do, In Progress, and Done. Tasks are created as cards on the board, each with a title, assignee, due date, and description. Members drag cards between columns as work progresses. Multiple Task Boards can exist within a single Group, allowing a team to track different projects separately on the same Group workspace.

When to Use Task Board

Use a Task Board for tracking discrete, assignable work items that move through defined stages: a content calendar, an event planning checklist, or a sprint backlog for a small project. Task Boards work well for teams that want simple visual task tracking without leaving Zoho Connect. For complex project management with Gantt charts, dependencies, and resource allocation, a dedicated tool such as Zoho Projects is more appropriate.

Key Considerations for Task Board

Task Boards in Zoho Connect are designed for lightweight tracking, not full project management. If you find the team needing custom fields, time tracking, or budget reporting alongside task tracking, that is a signal to move to Zoho Projects. Keep boards to a manageable number of columns; too many stages create confusion about where a task should be. Assign a clear owner to each task to avoid items sitting in In Progress indefinitely.

Can a Task Board in Zoho Connect be shared with non-Group members?

Task Boards in Zoho Connect are scoped to a Group. Only members of the Group can view and interact with the Task Boards inside it. If you need an external collaborator, such as a vendor or freelancer, to access the board, they would need to be added as a guest to the Group, subject to your organisation’s guest access policy and your Zoho Connect plan.

Is there a limit to the number of Task Boards a Group can have in Zoho Connect?

Zoho Connect allows multiple Task Boards within a single Group, but the exact limit may vary by plan. For most teams, the practical limit is governed by maintainability rather than a hard platform cap: having too many boards with overlapping purposes makes it harder for members to know where to add new tasks. Review your plan’s documentation for specific limits if you are managing a very large number of boards.
