A Subform in Zoho CRM is a table embedded within a record that allows multiple related line items to be captured on the same record. It is typically used for data that has a one-to-many relationship with the parent record, such as product line items on a Quote, tasks on a checklist, or contact points on a deal.

How Subforms Work

A Subform is added to a module layout and consists of its own set of fields (columns in the table). Users can add multiple rows to the subform within a single record. Common uses include: product line items on Quote and Sales Order records, installation checklist items on a Deal, multiple contact points on an Account.

Subforms and Rollup Summary Fields

Rollup Summary Fields can aggregate values from subform rows. For example, a “Total Amount” formula field can sum the line item amounts in a Quote subform. This gives the parent record an auto-calculated total without requiring the user to manually add up line item values.

Industry Example

Engineering Services: A civil engineering company uses a Subform on their Deals module called “Deliverables”. Each row captures a project deliverable: deliverable name, responsible engineer, planned date, and estimated cost. A Rollup Summary Field on the Deal totals all deliverable costs into a “Total Estimated Cost” field, which feeds into the quote amount and margin calculation.
