Staff (Bookings)

A Staff member in Zoho Bookings is a service provider with their own availability schedule and booking capacity visible to customers on the booking page.

Staff in Zoho Bookings are the service providers whose calendars drive availability. Their working hours, time-off, and assigned services determine every open slot a customer can see. Misconfiguring a Staff member’s schedule is the most common reason a booking page shows no available appointments.

How Staff Works in Zoho Bookings

Each Staff member has a profile with working hours, designated services, and optional calendar sync (Google Calendar or Zoho Calendar). When a customer visits a booking page, Bookings cross-references the Staff member’s working hours against blocked time and existing appointments to generate open slots. Staff members can be given their own booking URLs, and customers can select a preferred Staff member or accept auto-assignment.

When to Use Staff

Add a Staff entry for every individual who independently manages their own appointment schedule. For shared resources, such as a meeting room or a piece of equipment, you can also create a Staff profile and assign it to a service. Do not create a single Staff profile to represent a team or pool of people; that causes double-booking conflicts and makes reporting unreliable.

Key Considerations for Staff

Staff availability is separate from the Workspace availability window: both must align for a slot to appear. If a Staff member’s calendar is synced, external events block their Bookings slots automatically. Staff members can log into the Bookings portal to manage their own schedules, but their access level is controlled by the admin. Each Staff profile counts toward your plan’s seat or staff limits.

India Example: A Bengaluru-based coaching firm has four career coaches. Each is added as a Staff member with individual working hours. A client booking a one-on-one session can pick their preferred coach, and only that coach’s free slots appear, avoiding cross-booking.
Can a Staff member in Zoho Bookings see appointments booked with other staff?

By default, staff members can see only their own appointments in the Bookings portal. Administrators have a full view across all staff. If you need a team lead to see multiple staff calendars, that access must be configured through administrator-level permissions rather than a standard staff role.

Does adding a Staff member in Zoho Bookings require them to have a Zoho account?

A Zoho account is required if the staff member needs to log into the Bookings portal to manage their schedule or accept appointments. If you simply want to create the profile for scheduling purposes without granting portal access, you can set them up as a resource-style entry without an account login.
