When you set up Zoho Bookings, you create at least one Workspace. Inside it you add Services and Staff members. The Workspace has its own time zone, working hours, and a dedicated Booking Page URL. All services created within the Workspace inherit the Workspace time zone but can have their own duration and pricing. Notifications, branding, and custom intake fields are configured at the Workspace level and apply across all services inside it.
Create a separate Workspace for each distinct business unit or location that needs its own booking page, time zone, or staff group. A multi-city practice, for example, should have one Workspace per city. Do not create separate Workspaces purely for different service types if they share the same staff and time zone; keep them in one Workspace and use service categories instead to keep management simple.
The Workspace time zone is the reference for all slot calculations. If you change it after services are live, existing bookings retain their original times but new slots shift, which can confuse customers. Workspace-level notifications use templates that you can customise, but changes affect all services within the Workspace simultaneously. Your Zoho Bookings plan determines how many Workspaces you can create.
Staff members are assigned to a specific Workspace and its services. If a staff member needs to appear in multiple Workspaces, they must be added separately in each Workspace. Their availability settings and calendar sync are managed per Workspace, so you may need to configure working hours independently in each one.
A Workspace is the administrative container: it holds your services, staff, time zone, and notification settings. The Booking Page is the customer-facing output of that Workspace: the public URL where customers view services and book appointments. Every Workspace automatically generates a Booking Page, but the Booking Page itself has no configuration beyond what is set in the Workspace.
