Mass Update in Zoho CRM allows users to change the value of one or more fields across multiple records simultaneously, without editing each record individually. It is used for bulk data corrections, campaign field updates, and reassigning record ownership across a large set of records at once.

How Mass Update Works

From any CRM module list view, select the records to update (or select all records matching a filter), then choose the Mass Update option. Specify the field and the new value. Zoho CRM applies the change to all selected records. Mass Update respects field-level edit permissions, so users can only mass update fields their Profile allows them to edit.

Mass Update vs Workflow Field Update

Mass Update is a manual, one-time bulk operation initiated by a user. A Workflow Field Update is an automated action that fires when triggered conditions are met. Use Mass Update for ad hoc corrections; use Workflow Field Update for ongoing, condition-based automation.

Industry Example

Territory Restructure: A company restructures its sales territories, moving all accounts in Maharashtra from the “West Zone” team to a newly created “Maharashtra” territory. The administrator filters Accounts by state = Maharashtra, selects all 340 matching records, and uses Mass Update to change the Territory field to “Maharashtra” and the Owner field to the new territory manager. The entire restructure takes 3 minutes instead of editing 340 records individually.

Frequently Asked Questions

What is Mass Update in Zoho CRM?

Mass Update is a bulk operation that changes a field value across multiple CRM records at once. Users select records from a list view, specify the field and new value, and Zoho CRM applies the change to all selected records simultaneously.

Can Mass Update be undone in Zoho CRM?

Mass Update cannot be undone through a single undo action. The changes are recorded in the Audit Log for each record. To reverse a mass update, you would need to perform another mass update setting the field back to its original value, or import the original values from a backup.
