A Profile in Zoho CRM is a set of permissions that controls what a user can do within the CRM. Profiles define access rights for each module (view, create, edit, delete), field-level permissions, and access to specific features such as importing, exporting, managing layouts, or running reports.

Profile vs Role

A Profile controls what a user can do. A Role controls what data a user can see. A sales rep might have a Profile that allows creating and editing Deals but not deleting them. Their Role determines which deals they can see: only their own, or their entire team’s.

Every user in Zoho CRM is assigned exactly one Profile and one Role. Together, these two settings define both the functional permissions and the data visibility scope for that user.

Industry Example

Financial Services: A wealth management firm creates 4 Profiles: Sales Rep (create and edit leads and deals, no delete, no export), Sales Manager (all rep permissions plus delete and reports), Operations (view-only on all modules, full access to custom finance fields), and Administrator (all permissions). Each profile restricts access to only what each team needs, protecting sensitive client financial data from unauthorised access.
