A Profile controls what a user can do. A Role controls what data a user can see. A sales rep might have a Profile that allows creating and editing Deals but not deleting them. Their Role determines which deals they can see: only their own, or their entire team’s.
Every user in Zoho CRM is assigned exactly one Profile and one Role. Together, these two settings define both the functional permissions and the data visibility scope for that user.
A Profile in Zoho CRM is a named permission set that controls what actions a user can perform: which modules they can access, what operations they can do (view, create, edit, delete), and which CRM features (import, export, reports) are available to them.
A Profile defines what a user can do (permissions). A Role defines what data a user can see (record-level access). Both are assigned to every user, and together they control the full scope of what a user can access and action within CRM.
