This is not a replacement for Zoho Creator for complex apps, but it handles a significant class of structured data collection needs without any external tool.

How Custom App Works in Zoho Connect

A Custom App in Zoho Connect is built using a no-code form builder within the platform. Administrators or designated app builders create forms with fields such as text, dropdowns, dates, file attachments, and user lookup fields. Submitted entries are stored within the app and can be viewed in a list or report view. Apps can be scoped to a Group or made available network-wide. Approval workflows can be attached to form submissions to route entries for review.

When to Use Custom App

Use a Custom App for structured internal data collection that needs to stay inside your intranet: expense pre-approval requests, asset checkout logs, visitor registration forms, internal survey responses, or IT request intake. Custom Apps are appropriate for processes where the data is managed by the team that owns the Group rather than a centralised system. For processes requiring complex logic, external integrations, or reporting dashboards, Zoho Creator or Zoho Forms is more appropriate.

Key Considerations for Custom App

Custom Apps in Zoho Connect are relatively simple by design; they do not offer the scripting capabilities of Zoho Creator. If your app needs conditional field visibility, multi-step workflows, or real-time integration with external databases, plan the build in Zoho Creator instead and embed or link it from Connect. Also consider data governance: entries submitted to a Custom App are stored within Zoho Connect, so confirm this is compliant with your organisation’s data retention and privacy policies.

Employees fill in a form specifying the item, quantity, and urgency. The submission triggers an approval notification to the admin manager, who approves or rejects it directly from Connect, replacing a manual email process.
