An Assignment Rule is configured on a module (most commonly Leads or Cases). It evaluates incoming records against a set of conditions – such as lead source, location, or deal size – and assigns ownership based on the first matching rule. Rules are evaluated in order, so the sequence of rules matters.
If a record does not match any rule, it falls back to a default owner. Assignment Rules can also assign records to a team using Round Robin distribution, cycling through team members equally.
Assignment Rules fire only when a record is created and are specifically for record ownership. Workflow Rules with a Field Update action can also change ownership, but they offer more flexibility – they can fire on creates and edits, and can be combined with other actions in the same rule.
An Assignment Rule automatically assigns new records (such as leads or cases) to the appropriate CRM user based on conditions like lead source, geography, or company size. It removes the need for manual lead distribution and ensures every record has an owner from the moment it enters the system.
Yes. Assignment Rules support Round Robin distribution, which cycles incoming records across specified team members in equal rotation. This is useful for sales teams where leads should be distributed fairly regardless of their source or attributes.
