Each Staff member has a profile with working hours, designated services, and optional calendar sync (Google Calendar or Zoho Calendar). When a customer visits a booking page, Bookings cross-references the Staff member’s working hours against blocked time and existing appointments to generate open slots. Staff members can be given their own booking URLs, and customers can select a preferred Staff member or accept auto-assignment.
Add a Staff entry for every individual who independently manages their own appointment schedule. For shared resources, such as a meeting room or a piece of equipment, you can also create a Staff profile and assign it to a service. Do not create a single Staff profile to represent a team or pool of people; that causes double-booking conflicts and makes reporting unreliable.
Staff availability is separate from the Workspace availability window: both must align for a slot to appear. If a Staff member’s calendar is synced, external events block their Bookings slots automatically. Staff members can log into the Bookings portal to manage their own schedules, but their access level is controlled by the admin. Each Staff profile counts toward your plan’s seat or staff limits.
By default, staff members can see only their own appointments in the Bookings portal. Administrators have a full view across all staff. If you need a team lead to see multiple staff calendars, that access must be configured through administrator-level permissions rather than a standard staff role.
A Zoho account is required if the staff member needs to log into the Bookings portal to manage their schedule or accept appointments. If you simply want to create the profile for scheduling purposes without granting portal access, you can set them up as a resource-style entry without an account login.
