Export in Zoho CRM is the process of downloading CRM records into a CSV or Excel file for use outside the system. Exports are used for backups, offline analysis in spreadsheets, data sharing with teams who do not have CRM access, and migrating data to other systems.

Export Options in Zoho CRM

Records can be exported from any module’s list view by filtering to the desired records and selecting the Export option. The export generates a CSV file with all visible fields. You can also use CRM Reports to export specific field subsets and filtered data sets. Export permissions are controlled by the user’s Profile.

Export Limits and Alternatives

The standard export has record-count limits depending on the CRM edition. For larger exports, use the Bulk Read API which can export any number of records asynchronously to a downloadable file without UI-based limits.

Industry Example

Finance Team Reporting: A company’s finance team does not have Zoho CRM access but needs a monthly report of all closed-won deals. The CRM administrator sets up a Zoho Analytics report (connected to Zoho CRM) that the finance team can access directly. For ad hoc requests, the sales manager exports the filtered Deals module to CSV and shares the file. This avoids granting direct CRM access to team members who only need occasional data snapshots.
