An Email Template in Zoho CRM is a pre-written, reusable email that can be sent manually to leads and contacts or used in Workflow automation actions. Templates support merge fields that personalise the email with CRM record data, such as the recipient’s name, company, deal name, or any other field value.

Creating and Using Email Templates

Templates are created under the Email Templates section in CRM Setup. Each template has a subject line (which can also contain merge fields), a body (rich text or HTML), and a from-name configuration. Merge fields use the syntax $leads.First_Name or $deals.Deal_Name, pulling values from the module the template is used in.

Templates are used in: Workflow Email Notifications, Cadence email steps, manual one-click email sends from record pages, and mass email sends to a list of records.
