When to Use Data Sharing Rules

Data Sharing Rules are useful when: a support team needs to see all customer Accounts regardless of sales ownership, a product specialist needs access to deals with a specific product regardless of territory, or a finance team needs view-only access to all deals to run billing and invoicing.

Rules are configured by module, access level (Read, Read/Write), and criteria (such as “Account Type = Enterprise”). Multiple sharing rules can apply to a single record, and the most permissive rule wins.

Industry Example

Technology Distributor: A technology distributor has a pre-sales team that needs to view all active Deals above INR 10 lakhs to provide technical proposals, regardless of which sales rep owns the deal or which territory it belongs to. A Data Sharing Rule grants the pre-sales profile read-only access to all Deals where Amount is greater than 10,00,000. The rule activates automatically for qualifying deals, saving the administrator from manually sharing records on a case-by-case basis.
