Recording (Meeting)

Recording in Zoho Meeting captures a session as a cloud-hosted video file that hosts can share with absent participants or repurpose as training content.

Technical Term

Recording in Zoho Meeting is not automatic: the host must start it explicitly during the session, and it stops when the session ends or the host stops it manually. This means an unattended session or a host who forgets results in no recording. Plan your recording workflow before the session starts, not during it.

How Recording Works in Zoho Meeting

The host activates recording during a live session from the meeting controls. Zoho Meeting records the audio, video, and shared screen into a single cloud-hosted file. When the session ends, the recording is processed and becomes available in the host’s Zoho Meeting recordings library. The host can then share a link to the recording with others. Webinar recordings capture the presenter view and audio; participant cameras in standard meetings are also captured if they are active.

When to Use Recording

Record sessions when you expect absent team members, want a reference for action items, or plan to repurpose the content for training or marketing. For webinars, recording is almost always worth enabling as registrants who could not attend often want access to the replay. Avoid recording purely social or informal calls unless all participants are comfortable with it; in India, informing participants before recording is good practice and may be legally required depending on the context.

Key Considerations for Recording

Cloud storage for recordings is tied to your Zoho Meeting plan and has a retention limit. Download recordings you want to keep long-term before the retention window expires. Recording availability is not guaranteed on all plan tiers; check your plan before relying on it for important sessions. Participants in a meeting session are typically notified when recording starts via an on-screen indicator. For webinars, the recording announcement is part of the session setup.

India Example: An Aaxonix project team in Pune records all weekly client review sessions with a Delhi-based manufacturing company. The recordings serve as a project log: any team member joining mid-project can review past sessions to understand decisions made before they joined.
How long are recordings stored in Zoho Meeting before being deleted?

Recording retention in Zoho Meeting depends on your subscription plan and the cloud storage allocated to your account. Lower-tier plans may have shorter retention periods or smaller storage limits. You should download any recording you need to keep beyond the plan’s retention window. Check your plan’s storage specifications in the Zoho Meeting subscription settings.

Can I share a Zoho Meeting recording with someone who did not attend the session?

Yes. After a session ends and the recording is processed, the host receives a shareable link to the cloud recording. This link can be shared with anyone, including people who were not in the original session. You can also download the recording file and share it via email or a file-sharing service if you prefer not to share the Zoho link directly.
