A Co-organiser is the safety net for any professionally run session. If the primary host has a connectivity problem or needs to step away, the Co-organiser can keep the session running without interruption. This role is especially valuable for webinars with large audiences where a host dropping out would be visible and disruptive.

How Co-organiser Works in Zoho Meeting

A Co-organiser is assigned by the host either before the session starts (during setup) or during a live session. The Co-organiser receives the same join link as other participants but has expanded controls: they can mute or remove participants, start or stop recording, manage the Waiting Room, and run polls. In a webinar, the Co-organiser can also manage Q&A responses. The primary host retains the ability to end the session for everyone; the Co-organiser cannot do this unilaterally in all scenarios.

When to Use Co-organiser

Assign a Co-organiser for any session with more than ten participants, external client attendance, or a duration longer than one hour. For webinars, having one person present and one person manage the chat, Q&A, and polls prevents the presenter from being distracted. For internal meetings, a Co-organiser is useful when the host may join late due to an earlier commitment. Do not assign Co-organiser rights casually, as they can remove participants and stop recordings.

Key Considerations for Co-organiser

The Co-organiser does not need to be a Zoho Meeting account holder; any participant in the session can be promoted to Co-organiser. However, assigning the role before the session (during webinar setup) typically requires specifying the person’s email address. If the host leaves the session without ending it, the Co-organiser can maintain continuity but may not have all host-level permissions depending on the session type. Verify the Co-organiser’s capabilities in a test session before a critical event.

India Example: A Pune-based Zoho partner runs a product demo webinar. The account manager presents while a technical consultant acts as Co-organiser, monitoring the Q&A panel, approving poll launches, and muting any participants accidentally left unmuted. When the account manager’s internet drops for two minutes, the Co-organiser holds the session open and addresses questions until the host returns.
Can a Co-organiser in Zoho Meeting end the session for all participants?

The ability of a Co-organiser to end a session for all participants may vary by session type and Zoho Meeting version. In most scenarios, ending the session for everyone is a host-exclusive action. The Co-organiser can leave the session without ending it. For critical sessions, confirm the exact permissions in a test session so you know what the Co-organiser can and cannot do.

How do I assign a Co-organiser in Zoho Meeting before a session starts?

When scheduling a meeting or webinar in Zoho Meeting, there is an option to add Co-organisers by entering their email addresses. They receive the same invitation as other participants but with expanded access rights active from the moment they join.
