Pay Schedule

A pay schedule in Zoho Payroll defines the frequency and calendar of payroll runs, such as monthly on the last working day, determining when employees receive their salaries.

A pay schedule in Zoho Payroll is a configuration that defines how often payroll is processed and on which dates salaries are paid. Common pay schedules in India are monthly (most prevalent), bi-weekly, or semi-monthly. The schedule governs which employees are included in each pay run, the pay period dates, and the payment date.

Configuring Pay Schedules in Zoho Payroll

Under Settings > Pay Schedules, you define the pay frequency, the period start and end dates, and the payment date. You can create multiple pay schedules for different employee groups, for example, a monthly schedule for permanent staff and a bi-weekly schedule for contractual workers. Each schedule runs independently.

Pay Schedule and Statutory Due Dates

The choice of pay schedule affects when statutory filings are due. PF challan must be paid by the 15th of the following month, and ESI by the 15th. A monthly pay schedule with payment on the last working day gives payroll teams adequate time to process statutory payments within due dates. Zoho Payroll tracks these deadlines and sends reminders.

Changing Pay Schedules Mid-Year

Changing a pay schedule mid-year requires careful handling of the transition pay period. Zoho Payroll supports schedule changes but requires you to close out the existing period correctly before switching. Employees affected by the change should be notified in advance, and the transition payslip must account for any partial period accurately.

Example: A Pune company creates two pay schedules: ‘Monthly-Permanent’ (pay period 1st to last day, payment on last working day) and ‘Monthly-Contract’ (pay period 1st to 30th, payment on 5th of next month). Each schedule runs its own pay run, and Zoho Payroll keeps the two entirely separate.
