How Flow Gallery Works in Zoho Flow

The Flow Gallery is a searchable catalogue within Zoho Flow containing pre-built flow templates organised by app pair, category, and use case. Each template includes a pre-configured trigger, one or more actions, and any necessary data mapping between the connected apps. A user selects a template, authorises the required app connections, and adjusts any field mappings to match their data structure. The resulting flow can then be tested and activated immediately.

When to Use Flow Gallery

Start with the Flow Gallery whenever you are connecting two popular apps for a common use case, such as syncing form submissions to a CRM, posting Slack notifications on new leads, or creating records in one app when another is updated. Building from a template is faster than starting from scratch and reduces the risk of missing a required field mapping. Build from scratch only when your requirement is unusual or involves custom logic that templates do not cover.

Key Considerations for Flow Gallery

Templates in the gallery reflect common configurations, but they may not account for every field your organisation uses. After cloning a template, always review each step’s field mapping before activating, as default mappings may not align with your custom fields or renamed standard fields. Some templates target specific plan tiers; if a template requires a premium app or feature not included in your subscription, you will need to upgrade or build an alternative approach.
