Meeting Session

A Meeting Session in Zoho Meeting is a video conference where all participants share audio, video, and screens in real time for collaborative discussion.

A Meeting Session is the standard video conference format in Zoho Meeting: every participant has equal access to audio, video, and screen sharing by default. This symmetry makes it the right tool for small-group collaboration but an unsuitable choice for large audiences where uncontrolled audio creates noise and confusion.

How Meeting Session Works in Zoho Meeting

A host schedules or starts an instant Meeting Session and shares a join link with participants. All participants can activate their camera, microphone, and screen share. The host can mute individuals or all participants, transfer the host role, lock the meeting to prevent new joiners, or remove a participant. Sessions can be recorded to the cloud. Zoho Meeting generates a shareable link that participants open in a browser or the desktop app without needing a separate account.

When to Use Meeting Session

Meeting Sessions are ideal for internal team calls, client reviews, project kick-offs, and any scenario where multiple people need to present or discuss. Use a Webinar instead when the event has a defined presenter and a passive audience. Keep participant counts manageable: very large Meeting Sessions with many active mics become disorganised, and in those cases a webinar with moderated Q&A produces a better experience.

Key Considerations for Meeting Session

Participant limits per session depend on your Zoho Meeting plan. Meeting durations may also be capped on lower-tier plans. The Waiting Room feature lets the host vet participants before they enter, which is recommended for client-facing sessions. Recording requires explicit host action (it does not auto-record). Calendar integrations with Zoho Calendar, Google Calendar, and Outlook allow sessions to be created directly from scheduling tools without opening Zoho Meeting separately.

Do participants need a Zoho account to join a Zoho Meeting session?

No. Participants can join a Zoho Meeting session using only the join link, either through a web browser or by downloading the Zoho Meeting app. They do not need a Zoho account. Only the host needs an account to schedule and start sessions. This makes it practical for client meetings where asking participants to create accounts would add friction.

Can the host transfer control to another participant during a Zoho Meeting session?

Yes. The host can transfer the host role to any participant during an active session. The new host gains full control: muting participants, managing the Waiting Room, locking the meeting, and ending the session for all. The original host reverts to a standard participant role unless the new host transfers it back.
