A workflow in Zoho Creator is an automation that executes Deluge code when a defined trigger event occurs on a form — such as a record being added, edited, or deleted. Workflows handle business logic like sending email notifications, updating related records, calling external APIs, or creating records in other forms.

Workflow Structure

Each workflow has: a trigger (on add, on edit, on delete, scheduled), optional conditions (criteria that must be met for the workflow to execute), and actions (Deluge code that performs the automation). Multiple workflows can be attached to the same form, each firing on different conditions.

Common Workflow Use Cases

Send an email alert to a manager when a leave request is submitted. Update the Status field of a Work Order to Assigned when a technician lookup field is populated. Create an invoice in Zoho Books when a Sales Order is marked as Approved. Push record data to an external API when a form is submitted.
