What Is the WorkDrive and Zoho CRM Integration?

The integration between Zoho WorkDrive and Zoho CRM connects the document management platform to CRM records, allowing sales teams to attach and access WorkDrive files directly from within CRM. Files such as proposals, contracts, presentations, and support documents can be linked to specific contacts, accounts, or deals without needing to leave the CRM interface.

How the Integration Works

When the integration is enabled, each CRM record gets a WorkDrive tab or panel that shows the files associated with it. Sales reps can upload new files to a CRM record, and those files are stored in a corresponding WorkDrive folder. Changes to the file in WorkDrive are reflected in the CRM without re-uploading, as the link is live rather than a static attachment.

The integration eliminates the need to search for the latest version of a proposal in a separate file system while working in the CRM. All relevant documents are accessible from the deal record. Are WorkDrive folders created automatically for each CRM record?

Zoho WorkDrive and CRM integration can be configured to automatically create a WorkDrive subfolder for each new record in a specified CRM module (such as Accounts or Deals). This automatic folder creation can be set up using Zoho Flow or a custom Deluge function in CRM, creating a consistent folder structure for each client or project without manual setup.

Can CRM users access WorkDrive files without a WorkDrive licence?

CRM users can view and download files associated with CRM records through the integration even if they do not have a dedicated WorkDrive licence, subject to the access permissions configured on the WorkDrive folder. For full WorkDrive functionality such as co-editing or folder management, a WorkDrive user licence is needed. Check Zoho’s current licensing terms for the exact access scope.
