What Is a Watermark in Zoho WorkDrive?

A watermark in Zoho WorkDrive is a semi-transparent text overlay that appears on documents when they are viewed in the WorkDrive viewer. The watermark typically displays information such as the viewer’s name, email address, or a custom text string. Its purpose is to identify who viewed or downloaded a document, deterring unauthorised sharing and helping trace the source of any leaks.

Enabling Watermarks in Zoho WorkDrive

Organisation admins can enable watermarking for specific Team Folders or at the organisation level from the Admin Console. When watermarking is active, every PDF or document opened in the WorkDrive viewer displays the overlay. The watermark cannot be removed by the viewer, as it is applied dynamically by the server when the document is rendered.

When to Use Watermarks

Watermarks are most useful for sensitive documents shared with external parties, such as confidential proposals, financial reports, or product roadmaps shared with clients or investors. Seeing their own name or email on a document signals to the recipient that any screenshots or screen shares can be traced back to them, significantly reducing the risk of casual unauthorised distribution.

Does the watermark appear on printed or downloaded copies of the file?

The WorkDrive watermark is applied in the browser-based viewer and appears on the screen when viewing or downloading a document through the WorkDrive interface. Whether the watermark persists on a downloaded file depends on the file format and how the download is handled. For maximum protection, combine watermarking with download restrictions to prevent recipients from obtaining an unwatermarked local copy.

Can I customise the watermark text in Zoho WorkDrive?

Yes. Zoho WorkDrive allows admins to configure the watermark content, choosing between viewer email, viewer name, a fixed custom text, or a combination. You can also adjust the watermark position and opacity from the admin settings to balance visibility with readability of the underlying document.
