What Is a Version Limit in Zoho WorkDrive?

A version limit in Zoho WorkDrive is the maximum number of saved versions WorkDrive will retain for any single file. Once the limit is reached, saving a new version causes the oldest stored version to be permanently deleted to make room. This limit is set by the organisation admin and balances the value of having extensive version history against the storage cost of retaining many copies of every file.

Configuring the Version Limit

Organisation admins set the default version limit in the WorkDrive admin console. Higher limits provide a longer safety net for version recovery but consume more storage. Common configurations range from 25 to 100 versions per file depending on the plan. Some plans allow unlimited version retention, with storage being the practical constraint rather than a hard version count cap.

Impact of Version Limits on Teams

Teams that work on frequently edited files over long periods should be aware of the version limit. If a file has 50 versions and the limit is 50, the next save will delete the earliest version. For documents where historical versions are important for compliance (such as contracts or policies), admins should set a high version limit or export and archive old versions before they are purged.

Will I be warned before a version is deleted due to the limit?

Zoho WorkDrive does not send an alert when a specific version is about to be deleted due to the limit being reached. The oldest version is automatically removed when a new one is added and the limit is exceeded. If version retention beyond the configured limit is important, consider archiving the file or upgrading to a plan with a higher or unlimited version retention setting.

Can I manually delete old versions to free up storage without changing the limit?

Yes. Users with Editor or Owner permissions can manually delete specific versions from the version history panel. This is useful when you want to clean up intermediate drafts or test versions that clutter the history without waiting for the automatic limit-based purge.
