A Role is a named access profile in Zoho Creator that groups together a set of permissions. When a portal user is assigned a role, they inherit that role’s access configuration: which forms they can add or edit records in, which reports they can view, and which pages are visible to them. Roles allow builders to manage access for groups of users without configuring each user individually.
Roles are created in the Creator application’s Access Configuration settings. A builder defines the role name, then specifies permissions for each form and report component in the application. Portal users are then assigned to a role when they are invited or at any time through the user management interface. Changing a role’s permissions instantly affects all users assigned to it.
Creator supports role hierarchies where a manager role can be granted visibility over the data submitted by users in subordinate roles. This enables a team lead to view all records submitted by their team members while each team member only sees their own records. The hierarchy is configured in the role structure and automatically scopes data visibility in reports and lookups.
