Return Parts is a workflow in Zoho FSM used when a field agent takes parts to a job site but does not end up using them. Rather than leaving parts in the agent’s vehicle indefinitely or losing track of them, the Return Parts process logs the unused items back to the appropriate inventory location. This ensures that stock counts in FSM accurately reflect what is actually available, which is critical for avoiding parts shortages on future jobs.
Return Parts situations include: a fault diagnosis showing the suspected component was not the actual cause of the problem; a customer declining the repair after seeing the cost; a job being rescheduled before the repair was performed; or parts ordered as backup that were not needed. Each of these scenarios results in physical parts that should be restocked rather than left as consumed inventory.
When parts are returned, FSM updates the Work Order to remove them from the consumed parts list and adjusts the cost accordingly. If an invoice was already generated in Zoho Books, a credit note may need to be issued for the returned part’s value. The return record and its link to the original Work Order are retained for audit purposes, maintaining a complete financial and parts trail for the job.
Yes. The FSM mobile app allows agents to log part returns directly from the Work Order view. They select the part from the used parts list and indicate the quantity being returned. The return is submitted for confirmation by the parts coordinator or dispatcher, who then processes the inventory update. This eliminates the need for paper-based returns processes.
The destination of a returned part depends on the return configuration and where the part is physically being returned to. If the agent is keeping the part on their vehicle for future jobs, it is credited back to their vehicle inventory location. If they return it to the warehouse at the end of their shift, it is credited to the warehouse location. FSM tracks inventory separately per location to reflect this accurately.
