A document field in Zoho Sign pre-populated with data by the sender before the document is sent to signatories, reducing manual entry by the recipient.

What Is a Prefill Field in Zoho Sign?

A prefill field in Zoho Sign is a form field whose value is populated by the document sender before the document is sent to signatories. Instead of leaving blanks for signatories to fill in, the sender pre-populates fields like the contract date, party name, company address, or agreed price from their own data.

Benefits of Prefilling

Prefilling reduces friction for signatories (fewer fields to complete) and reduces data entry errors (the sender uses verified data from their CRM or ERP). It also speeds up document completion, as signatories only need to review prefilled content and add their signature rather than completing a form.

Template Mapping

When using Zoho Sign integrated with Zoho CRM, prefill fields can be mapped to CRM field values. Sending a contract from a CRM deal automatically prefills the customer name, address, deal value, and contract start date from the deal record, creating a complete document with one click.

Who can add data to Prefill Fields in Zoho Sign?

Only the document sender can populate Prefill Fields. After uploading the document and adding fields, the sender sees a pre-fill step before the document is sent where they enter the values for all Prefill Fields. Once sent, those values are visible to signers as read-only text. Signers cannot modify prefilled content.

What are common uses of Prefill Fields in Zoho Sign?

Common uses include pre-populating the employee’s name, role, and start date in an offer letter; filling in the contract value, effective date, and party names in an agreement; inserting the invoice number and amount in a payment acknowledgement; and adding the client’s address and registered number in a service contract. Any data the sender already knows that should appear in the document is a Prefill Field candidate.
