Portal User

A Portal User in Zoho Creator is an external user who accesses the application through a portal, with access controlled by roles and permissions defined by the app builder.

What Is a Portal User in Zoho Creator?

A Portal User is someone outside the Zoho organisation who accesses a Creator application through a dedicated portal URL. Portal Users are typically customers, partners, vendors, or field agents who need to interact with the application but should not have access to the full Zoho account. The application builder configures what each Portal User can see and do through role-based access settings.

Portal User vs Owner User

Owner Users are internal Zoho account holders who build and manage the application. Portal Users are external participants with scoped access. A Portal User cannot modify the application structure, access the Creator Studio, or view data outside their permitted scope. They interact only through the front-end Pages and forms the builder has exposed to them.

Managing Portal Users

Portal Users are invited by email and authenticate with a Creator-managed login or through social sign-on options. Their role assignment determines which forms they can submit, which reports they can view, and whether they see all records or only their own. Usage of Portal Users may affect billing depending on the Creator plan tier.
