What Is a Password-Protected Share?

A password-protected share in Zoho WorkDrive is a share link that requires the recipient to enter a predefined password before they can view the shared file or folder. This adds a second layer of access control beyond just having the link URL, protecting against accidental exposure if the link is forwarded to unintended recipients.

How to Set Up a Password-Protected Share

When generating a share link in Zoho WorkDrive, the owner or editor can enable the password option and set a custom password. The password must be shared with the intended recipient separately (for example, by phone or a separate message channel) to avoid the link and password being intercepted together. The recipient enters the password on the WorkDrive access screen before the file content is revealed.

When to Use Password-Protected Shares

Password protection is recommended when sharing sensitive files with external parties over potentially insecure channels, such as email. It is also useful when distributing a link to a wider group but wanting to ensure only those with the password can access the content. Regular expiry link or restricted domain shares may be more appropriate for very sensitive data, but password protection adds a practical layer of defence for most external sharing scenarios.

Can I change the password on an existing share link?

Yes. You can update the password on an active share link in Zoho WorkDrive at any time. Once the password is changed, anyone using the old password will no longer be able to access the file through that link. This is useful if the password is compromised or if you want to revoke access for some recipients while keeping the link active for others with the new password.

Does the password expire automatically?

The password itself does not expire unless you also set an expiry date on the share link. If you want access to end at a specific time, combine the password protection with an expiry date setting. Once the link expires, the password becomes irrelevant as the link itself no longer grants access.
