Online Payment (Bookings)

Online Payment in Zoho Bookings lets customers pay at booking via an integrated gateway, so the appointment is only confirmed once payment is received.

Technical Term

Online Payment in Zoho Bookings ties payment collection to the booking confirmation step. A customer who does not complete payment does not hold a slot. This single behaviour eliminates no-shows caused by casual bookings, but it also means your pricing must be clear and final before the booking page goes live.

How Online Payment Works in Zoho Bookings

You connect a supported payment gateway (such as Stripe, PayPal, or Razorpay for India) to your Zoho Bookings account. At the Service level, you set a price and mark payment as required. When a customer selects that service and a time slot, they are directed to a payment step before the appointment is confirmed. Successful payment triggers the confirmation and sends notifications to both the customer and the assigned staff member.

When to Use Online Payment

Enable Online Payment for services where no-shows carry a real cost: paid consultations, training sessions with preparation overhead, or scarce specialist time. For free or internal services, leave payment disabled. If you offer both paid and free services within the same Workspace, set payment individually per service rather than at the Workspace level. Do not use Online Payment as the only confirmation method if you serve a customer base with limited access to digital payment.

Key Considerations for Online Payment

Razorpay is the most widely used gateway for Indian businesses integrating with Zoho Bookings, as it supports UPI, net banking, and cards. Refund processing must be handled from within the payment gateway’s dashboard; Zoho Bookings itself does not initiate refunds automatically on cancellation. Currency and tax settings in Bookings must match what your gateway expects. Test the full payment flow in sandbox mode before going live.

India Example: A Pune-based nutritionist charges Rs 1,500 per consultation. With Razorpay connected to Zoho Bookings, clients pay via UPI or card before their slot is confirmed. No-shows dropped to near zero after enabling this, as paying customers are far more likely to attend.
Which payment gateways does Zoho Bookings support for Indian businesses?

Zoho Bookings supports Razorpay, Stripe, and PayPal, among others. For Indian businesses, Razorpay is typically the best fit as it supports UPI, net banking, major cards, and wallets without requiring international payment infrastructure. Connect the gateway under Settings in your Bookings account and complete the gateway’s own merchant verification process.

What happens to a booked slot if a customer’s payment fails in Zoho Bookings?

If payment fails, the appointment is not confirmed and the slot remains available for other customers. The customer is shown a payment error and can retry. The slot is not temporarily held during payment processing for an extended period, so in high-demand situations another customer could claim it if the first customer’s payment takes too long.
