An Immediate Action in a Zoho CRM Workflow Rule executes the moment the trigger fires and conditions are met. Unlike scheduled actions, immediate actions run synchronously with the triggering event – they do not wait for a future date or time.

How Immediate Actions Work

When a record saves and meets all Workflow Rule conditions, all immediate actions within that rule run before the save completes. This means the user sees the result of the immediate actions – such as an updated field value – as soon as the record is saved.

Common immediate action types include Field Update, Email Notification, Create Task, Webhook, and Custom Function.

Immediate vs Scheduled Actions

A Scheduled Action runs at a set time relative to the trigger – for example, 2 days after a deal moves to the Negotiation stage. Immediate actions are for instant responses; scheduled actions are for follow-ups over time. Both can co-exist within the same Workflow Rule.

Industry Example

Logistics: A logistics company uses an immediate Field Update action to automatically set a Deal’s “Assigned Region” field based on the account’s pincode when the deal is created. This ensures no record goes without a region assignment and eliminates the need for manual data entry.

Frequently Asked Questions

What is an Immediate Action in Zoho CRM?

An Immediate Action in a Zoho CRM Workflow Rule is an action that executes the instant the workflow trigger fires, without any delay. Field updates, email notifications, task creation, and webhooks can all be configured as immediate actions.

How is an Immediate Action different from a Scheduled Action in Zoho CRM?

An Immediate Action runs the moment the workflow trigger fires. A Scheduled Action runs at a specified future time – such as 1 day after the trigger, or on a specific date. Both types can exist within the same workflow rule.
