Document Management in Zoho People is the storage, organisation, and tracking of employee-related documents — such as offer letters, identity proofs, contracts, and certificates — within the HR system, with expiry alerts and access controls.

What is Document Management in Zoho People?

Document Management in Zoho People provides a centralised, secure repository for all employee documents. Instead of keeping physical files or scattered email attachments, HR can store every document type — from the offer letter issued on day one to the experience certificate issued on the last day — against each employee’s record.

Document types managed

  • Pre-employment: Offer letter, appointment letter, background verification report.
  • Identity: PAN card, Aadhaar, passport, driving licence.
  • Educational: Degree certificates, professional certifications.
  • Statutory: PF nomination form, ESI declaration, Form 16.
  • Contracts: Employment agreement, NDA, non-compete clause.

Access control

Document visibility is controlled by role. An employee can see their own documents; their manager may see a subset; HR Admin can see all. Sensitive documents (salary details, medical records) can be restricted to HR Admin only.

Document Expiry Alerts

For documents with expiry dates — visas, professional licences, medical fitness certificates — Zoho People can send automated reminders to HR and the employee before the document expires, preventing compliance gaps.
