Customer Signature in Zoho FSM is the digital record of a customer’s handwritten signature drawn on the field agent’s mobile device touchscreen at the end of a service visit. It serves as the customer’s confirmation that the work was completed to their satisfaction and is stored permanently against the Work Order. This digital proof of delivery eliminates disputes about whether service was performed and replaces paper-based job completion forms.
When the agent marks a job as complete in the mobile app, they prompt the customer to review the job summary and sign on the device screen. The signature image is saved with a timestamp and GPS location to the Work Order record. A completion notification with the signed summary can be automatically emailed to the customer, giving them an immediate record of the service performed.
The customer signature on a Work Order serves as acceptance of the work performed. For billing purposes, it confirms that the services and parts listed on the Work Order were delivered, reducing disputes when invoices are issued. In industries with compliance requirements for service verification (such as regulated equipment maintenance), the timestamped digital signature provides an auditable proof record superior to paper documents that can be lost or altered.
If a customer refuses to sign (for example, if they are dissatisfied with the work), the agent should document the reason in the Work Order notes before closing the job. The Work Order can still be completed in FSM without a signature, but the absence of a signature is noted. This triggers a follow-up workflow: the dispatcher or service manager is notified to contact the customer and resolve the issue before an invoice is raised.
A digitally captured signature on a mobile device is legally recognised in most jurisdictions as an electronic signature under the same frameworks that govern other electronic agreement methods. The combination of the signature image, timestamp, GPS location, and the Work Order record it is attached to provides strong evidentiary value. For very high-value or formally regulated agreements, a dedicated e-signature platform with stronger identity verification may be more appropriate than the FSM mobile signature.
