The Commenter role in Zoho WorkDrive gives a user read access plus the ability to add comments and annotations to files. Commenters can open files, read their content, and leave feedback directly on documents or in the comment panel, but they cannot modify the file’s actual content, rename it, move it, or delete it.
The Commenter role is well suited for reviewers, approvers, and stakeholders who need to give feedback on documents without making direct changes. For example, a legal reviewer checking a contract, a client reviewing a proposal, or a manager providing feedback on a report would typically be assigned Commenter access. Their input is captured as comments, and the Editor can then action the feedback.
The key difference between a Commenter and a Viewer is the ability to leave feedback. Both can read file content, but only Commenters can add annotations, comments, or replies to existing comments. Viewer access is purely passive, while Commenter access enables an interactive review loop without granting edit rights.
Yes. In Zoho WorkDrive, a Commenter can edit or delete comments they have written. They can also resolve comment threads they started. Editors and Owners can resolve or delete any comment in the file, regardless of who wrote it, to keep the comment panel clean after feedback has been addressed.
Permission levels in Zoho WorkDrive are set at the folder level and apply to all files within that folder. If you need a reviewer to have Commenter access on specific files only rather than the entire folder, you can share those individual files with the Commenter role without adding the user to the Team Folder at all.
