Approval Workflow (Social)

A configurable process in Zoho Social where posts created by team members must be reviewed and approved by a designated approver before they are published or scheduled.

What Is an Approval Workflow in Zoho Social?

An Approval Workflow in Zoho Social is a content governance process where posts created by team members (such as social media authors or agency staff) are submitted for review to a designated approver before they go live. The approver reviews the post, can request changes, and either approves it (moving it to the scheduled or published state) or rejects it (returning it to the author for revision). This ensures brand and legal standards are met before any post appears publicly.

Configuring Approval Workflows

Approval workflows are configured at the Brand or team level in Zoho Social. You designate which roles require approval (typically Author-level users) and which roles can approve (typically Admins). When an Author submits a post for approval, the designated approver receives a notification and can review the post with its scheduled time, target profiles, and content from their Zoho Social account.

Approval Workflows for Agencies and Clients

The approval workflow is particularly valuable for agencies where client review is required before posts are published. The client is added as a Team Member with a limited role that allows them to view and approve posts without having full publishing access. This gives the client meaningful oversight and sign-off capability while keeping the day-to-day scheduling in the agency team’s hands.

Can an approver edit a post before approving it in Zoho Social?

Yes. Approvers in Zoho Social can make edits to a post before approving it, or they can leave comments for the author to address. The workflow supports both direct editing by the approver and a feedback-and-revision cycle where the author makes the requested changes before the post is approved. The audit trail in Zoho Social records who made changes and when, providing accountability in the review process.

Does the approval workflow delay time-sensitive posts in Zoho Social?

The approval workflow can introduce delays for time-sensitive content if approvers are not responsive. For reactive social media (responding to trending topics or breaking news), a strict approval requirement may prevent timely posting. Some organisations configure the approval workflow with a fast-track exception for real-time content, or grant trusted team members direct publishing rights for clearly defined types of time-sensitive posts.
