A pre-approved amount of money given to an employee before a trip or project, which is later reconciled against actual expenses incurred.

What Is an Advance in Zoho Expense?

An advance is money paid to an employee before they incur expenses, rather than after. It is common for business travel, client visits, or project work where the employee would otherwise need to pay significant costs from personal funds and wait for reimbursement. In Zoho Expense, advances are requested, approved, and then reconciled against the actual expense report submitted after the trip.

Advance Workflow in Zoho Expense

An employee raises an advance request specifying the purpose, expected amount, and travel dates. The request goes through an approval workflow. Once approved, the finance team records the payment. When the employee submits their expense report after the trip, any unused advance is deducted, and only the net difference is reimbursed or recovered.

Advance Reconciliation

Zoho Expense tracks outstanding advances and links them to the relevant expense report during reconciliation. If the employee spent less than the advance, the surplus is flagged for recovery. If actual expenses exceed the advance, Zoho Expense calculates the additional reimbursement due. This keeps advance balances transparent and prevents unrecovered amounts from slipping through.

Can an employee have multiple open advances at once?

This depends on your organisation’s policy settings in Zoho Expense. Some organisations restrict employees to one outstanding advance at a time to maintain financial control, while others allow multiple advances for concurrent projects or trips.

What happens if an employee does not submit an expense report after receiving an advance?

Zoho Expense flags unreconciled advances as outstanding balances. Finance teams can see all employees with open advances and send reminders. Persistent non-submission can trigger an escalation workflow, and the policy can be configured to block future advance requests until the outstanding one is cleared.
