Zoho Sign organises its signing process around templates and workflows. A template is a reusable document with designated signing fields already placed. A workflow defines who signs, in what order, and what happens after each step completes.
Start in Zoho Sign by uploading the base contract document (PDF or Word format both work). Place fields for each party: signature, date, name, and any initials required on specific pages. Then define the signing order:
For most agency contracts, a sequential flow works best. The account manager or legal contact signs first as an internal confirmation, then the document routes automatically to the client. This prevents sending a document for client signature before internal review is complete.
Set an automatic reminder after two days of inaction and an expiry after ten days. This removes the manual follow-up that typically falls through the cracks when project managers are occupied with delivery work. When a contract expires without signature, Zoho Sign marks it as declined and notifies the sender, so nothing sits in an invisible pending state.

In Zoho Sign, any text field in a template can be defined as a merge field. The naming convention uses double curly braces: {{Client_Name}}, {{Project_Value}}, {{Kickoff_Date}}, {{Deliverables_Summary}}. When you send a document from that template, you fill in each merge field value before dispatch. Zoho Sign populates the document and presents the completed version to the signer.
This approach means the account manager never edits the contract document directly. The template remains intact and every sent document is generated from the same master, which protects formatting and ensures no clause accidentally gets deleted during manual editing.
NDAs are shorter documents but require the same rigour. Create an NDA template with fields for the receiving party’s name, company, and the date. Add a counter-signature field for the agency’s authorised signatory. Because NDAs are often sent before a discovery call, configure the template with a 24-hour reminder and a five-day expiry to create urgency without being aggressive.
When Zoho Sign is integrated with Zoho CRM, templates can be sent directly from a contact or deal record. Create this structure as a WorkDrive template folder. When a new client project starts, duplicate the template to generate a fresh instance with the same folder hierarchy. This takes under a minute and means every project starts with an identical, clean structure.

WorkDrive maintains automatic version history for every file stored in Team Folders. Each time a file is uploaded or edited, WorkDrive creates a new version and preserves all previous ones. Team members can access the version panel, compare timestamps, and restore any earlier copy.
Automatic versioning only becomes meaningful when version notes are added. Train the team to add a short description when uploading a new version: “Round 1 client feedback incorporated”, “Colour palette updated to new brand guidelines”, “Final copy approved by Priya”. Without these notes, version history is a list of dates with no context.
Once a file reaches its final approved state, WorkDrive allows you to lock it. A locked file cannot be edited or overwritten without an explicit unlock action, which requires a specific permission level. Use locking on any file that has received formal client sign-off. This prevents the common situation where a designer opens the “final” file weeks later and saves an accidental change over it.
Apply version discipline differently depending on the file type. Creative briefs evolve through the project and every revision is meaningful: keep all versions and note what changed in each round. Final assets (logo files, photography exports, video renders) should go through a clear naming convention before the final version is locked: include the revision round number in the file name until approval, then rename to a clean final name and lock.
Zoho Sign’s audit trail is one of its most operationally useful features for agencies. Every signed document includes a certificate of completion that records the full signing history: who was invited to sign, when they opened the document, when they signed, the IP address used, and the device type. This information is embedded in the completed PDF as an appended page, which means the evidence travels with the document rather than sitting separately in a system log.
This level of detail is sufficient for most commercial disputes. If a client claims they never received a contract, the audit trail shows delivery and first-open. If they claim they did not agree to particular terms, the signed PDF with the embedded certificate confirms they signed the specific document version.
WorkDrive does not have a built-in approval workflow in the same way Zoho Sign does, but the combination of version history, locking, and access logs creates a de-facto audit trail for deliverable approvals. When a file is locked after client approval, the lock event appears in the file activity log with the team member who performed the action and the timestamp. Combined with the version history showing what was in the file at that moment, this gives agencies a defensible record of what was delivered and approved.
