To use IMAP or POP, the user first enables the protocol in Zoho Mail’s Settings under Mail Accounts. Zoho Mail then provides the server address, port number, and security settings to enter in the third-party client. IMAP uses imap.zoho.in on port 993 with SSL; POP uses pop.zoho.in on port 995 with SSL. Once configured, the client fetches mail directly from the Zoho Mail server. With IMAP, any action taken in the client, such as deleting or moving a message, is reflected in the Zoho Mail web interface and on other devices. With POP, messages are downloaded and generally removed from the server, making them available only on that one device.
IMAP is the right choice for most users because it keeps mail accessible from the web, a desktop client, and a mobile device simultaneously, with all actions synchronised. POP is suited to situations where a user wants to store all mail locally and does not need web access or multi-device sync, or where server storage is a concern and the organisation wants mail downloaded and removed from the cloud. For most Indian SMBs with staff working across phone and laptop, IMAP is the recommended approach.
IMAP and POP access must be explicitly enabled per user in Zoho Mail settings; they are not active by default. Administrators can restrict which users are allowed to enable these protocols from the admin console. IMAP connections count against concurrent session limits on some plans, so users with many devices connected simultaneously may experience throttling. Use an app-specific password rather than the main Zoho account password when configuring IMAP or POP in a third-party client.
A sales manager at a Hyderabad-based pharma distributor preferred working in Microsoft Outlook rather than the Zoho Mail web interface. She enabled IMAP in her Zoho Mail settings and configured Outlook with the Zoho IMAP server details. From that point, emails she sent and received in Outlook appeared correctly in the Zoho Mail web app, and her phone showed the same inbox without any duplicate messages.
IMAP is recommended for most users because it syncs messages and folder actions across all devices and the web interface. Use POP only if you specifically need to download and store mail locally and have no need to access the same messages from multiple devices or the Zoho Mail web client.
You enable IMAP once in your Zoho Mail account settings. After that, you can configure as many IMAP clients as you need using the same server settings. Each device connects to the same mailbox on the server, and all see the same messages and folder structure.
