Streams in Zoho Mail is a built-in team collaboration feature that lets users post messages, share files, and have threaded discussions without leaving the email client.

Streams in Zoho Mail is a team messaging and collaboration space built directly into the email client, where users can create topic-based channels, post updates, share files, tag colleagues, and reply in threads, reducing the need for internal email chains.

How Streams Works in Zoho Mail

Streams is accessible from a dedicated section in the Zoho Mail sidebar. Users create streams, which are named channels, and invite colleagues as members. Within a stream, participants post messages that appear in a chronological feed, and others can reply to specific posts to keep conversations threaded. Files attached to stream posts are stored and accessible to all members. Users can be @mentioned to draw attention, and posts can be starred or bookmarked for later reference. Streams activity is separate from email and does not generate inbox messages.

When to Use Streams

Streams reduces internal email clutter for quick team updates, project discussions, and file sharing among colleagues. A sales team can have a stream for daily order updates rather than sending a group email each morning. It is well suited for small to mid-sized teams that want a messaging channel without subscribing to a separate tool like Slack, keeping communication and email in a single Zoho Mail interface.

Key Considerations

Streams is only available to users within the same Zoho Mail organisation; you cannot add external clients or vendors as stream members. For discussions that include external participants, email or Zoho Cliq is a better choice. Streams history is retained as long as the organisation’s account is active, but there is currently no export function for archiving stream conversations outside of Zoho.

India Example

A 20-person IT services firm in Chennai created a Streams channel called “Client Escalations” for their support and account management teams. Instead of long reply-all email chains, team members posted updates and tagged the relevant account manager. Response times on escalations dropped because everyone involved could see the full conversation thread in one place without digging through their inboxes.

Is Streams included in all Zoho Mail plans?

Streams is available on Zoho Mail’s paid plans. It may have limited functionality on the free tier. Check the current Zoho Mail plan comparison to confirm which features are included at your subscription level.

Can I convert an email into a Streams post?

Yes. Zoho Mail allows you to forward an email into a stream channel, making the email content visible to all stream members as a post. This is useful for bringing an external conversation into an internal team discussion without forwarding the email to each person individually.
