Zoho Sign lets you configure reminders when setting up a document or at any time while the document is awaiting signatures. You can choose automatic reminders on a schedule (for example, every two days, or after a set number of days from the initial send), or send a one-off manual reminder from the document’s detail view. The reminder email includes the signing link, so the recipient can act immediately. Reminder settings can also be defined in a template so the same schedule applies every time that template is used.
Enable automatic reminders whenever a signed document is time-sensitive or blocks a downstream process, such as a sales contract needed before a project can start or an HR form required before payroll closes. Set more frequent reminders (every one to two days) near a document expiry date. Use manual reminders for high-value counterparties where a personal touch matters, rather than relying solely on automated emails. Avoid very frequent reminders that could irritate recipients and cause them to decline.
Zoho Sign’s reminder cadence options depend on your plan; some plans limit the number of automated reminders or the minimum interval between them. Reminders are sent only to recipients whose turn it is to sign: in a sequential signing order, a reminder to signer two will not be sent until signer one has completed. If a document has an expiry date, plan the reminder schedule so the final reminder goes out before the document expires, giving the signer time to act.
Zoho Sign does not currently provide signers with a self-service option to unsubscribe from reminders on a per-document basis. However, if a signer contacts the sender and asks for reminders to be paused, the sender can turn off automatic reminders for that document from the document management view, or adjust the reminder schedule accordingly.
No. A reminder is purely a notification; it has no effect on the document’s expiry date or the signing deadline. The expiry date is set at the time of sending and counts down regardless of how many reminders are sent. If you need more time, you must explicitly extend the expiry date from the document settings before it lapses.
