Form Report

A Form Report in Zoho Forms aggregates responses as charts and tables so form owners can analyse results without exporting to a separate spreadsheet.

Form Reports are the analytical layer on top of raw responses. Most form owners download to a spreadsheet and then build charts manually; Form Reports remove that step, making response patterns visible directly inside the Zoho Forms interface without any additional tool.

How Form Report Works in Zoho Forms

A Form Report in Zoho Forms is created from the Reports tab within a form. You can generate a Summary Report, which shows aggregate statistics and charts for each field, or a Detail Report, which displays individual responses in a tabular view. Summary Reports auto-generate charts for choice-based fields such as dropdowns and checkboxes, and show averages or totals for numeric fields. Reports can be filtered by date range, approval status, or specific field values, and can be shared with stakeholders via a link without giving them access to the Zoho Forms account.

When to Use Form Report

Use a Form Report when you need to share aggregated response data with a manager or client who does not need to access individual submissions. A Summary Report is ideal for periodic review meetings: it shows overall patterns such as the most common dropdown choice or the average satisfaction score. A Detail Report is useful when you need to audit individual responses or filter to a specific segment, such as all submissions received last week or only approved responses.

Key Considerations for Form Report

Shared report links are public by default and do not require a Zoho login to view. If the data is sensitive, enable password protection on the shared link. Reports regenerate from live data each time they are opened, so they reflect the current response set. File upload fields do not display file contents in reports; they show a count. For deep analysis or large datasets, exporting to CSV or connecting Zoho Analytics is more appropriate than relying on built-in reports.

India Example: A Delhi HR team runs a monthly employee satisfaction form and shares the Zoho Forms Summary Report link with senior management. The report shows bar charts for each question with no login required, saving the HR officer from manually building a PowerPoint presentation after every collection cycle.
Can a Zoho Forms report be embedded on a website or shared externally?

Yes. Zoho Forms allows you to share a Summary Report via a public link or embed it in a webpage using an iframe snippet. The shared link opens the report in a browser without requiring the viewer to have a Zoho account. You can optionally protect the link with a password if the response data is confidential. The report updates in real time as new submissions arrive.

Does Zoho Forms support filtering reports by a specific date range?

Yes. Zoho Forms Summary and Detail Reports support date range filters, allowing you to view responses submitted within a specific period. You can set the date filter manually each time you open the report, or configure the report to default to a relative range such as the last 30 days. Filtered reports can also be exported to CSV for further analysis.
