Billing + Books Integration

The built-in connection between Zoho Billing and Zoho Books that automatically syncs subscription invoices, payments, and customer data to the accounting system.

What Is the Zoho Billing and Zoho Books Integration?

The Zoho Billing and Zoho Books integration connects the subscription billing platform to the accounting system, automatically syncing subscription invoices, payment records, customer information, and revenue data. When Zoho Billing generates a subscription invoice or records a payment, the corresponding entry is created in Zoho Books without manual data entry, keeping the two systems aligned in real time.

What the Integration Syncs

The integration handles: customer records (new customers created in Zoho Billing appear in Zoho Books automatically); subscription invoices (generated in Zoho Billing and reflected in Zoho Books accounts receivable); payment receipts (when a subscription payment is collected, a corresponding payment entry appears in Zoho Books); credit notes (for refunds, proration credits, and coupon adjustments); and revenue recognition schedules for annual subscriptions. Tax components (GST, VAT) also sync correctly for the relevant jurisdictions.

Benefits for Finance Teams

The integration eliminates double-entry between subscription management and accounting, reduces reconciliation effort at month-end, and ensures the general ledger accurately reflects subscription revenue without manual journal entries. Finance teams can close books faster and with greater confidence in the accuracy of subscription-related accounting records when Zoho Billing and Zoho Books are tightly integrated.

Does the integration work in both directions between Zoho Billing and Zoho Books?

The primary data flow is from Zoho Billing to Zoho Books, as Zoho Billing is the system of record for subscription management. Payments recorded directly in Zoho Books (such as bank transfers reconciled from a bank feed) can be linked back to the corresponding Zoho Billing invoice, ensuring the payment status is updated in both systems and the subscription is not incorrectly flagged as unpaid.

Are subscription charges from Zoho Billing correctly categorised in Zoho Books chart of accounts?

Yes. During integration setup, you map Zoho Billing revenue categories (such as subscription revenue, setup fees, and add-on revenue) to the appropriate income accounts in your Zoho Books chart of accounts. This ensures that subscription revenue is posted to the correct account codes, making financial reporting and tax computation accurate without manual reclassification of transactions.
