An external share in Zoho WorkDrive allows you to share files or folders with people who are not members of your organisation’s WorkDrive account. This includes clients, vendors, freelancers, and other third parties. External users can be invited directly by email or given a shareable link, depending on how the admin has configured the external sharing policy.
Zoho WorkDrive supports two main external sharing modes. The first is direct invite, where an external user receives a link by email and must log in with their Zoho account (or create one) to access the file. The second is public link sharing, where anyone with the link can access the file without needing an account. Admins can restrict which modes are available to team members.
Organisation admins can control external sharing at a policy level, allowing it universally, restricting it to specific domains, or disabling it entirely. Each external share is logged in the audit trail, and folder Owners can see a list of external shares for their folders. Shares can be revoked at any time if the need for external access ends.
Yes, if the share is configured with Editor or Owner access. You can choose the access level when sharing externally, just as you would for internal team members. For most client-facing shares, Viewer or Commenter access is more appropriate than Editor access to maintain control over the file content.
Zoho WorkDrive does not enforce a strict cap on the number of external users per file or folder share. However, organisation-level policies may restrict external sharing to specific domains or user types. For mass distribution to a large number of recipients, a public share link is more practical than individual email invites.
