Auto-Scan is an OCR-powered feature in Zoho Expense that reads a receipt image captured through the mobile app and automatically extracts key data fields: the merchant name, transaction date, total amount, currency, and sometimes tax amount. These extracted values pre-populate the corresponding fields in the expense entry form, reducing the time an employee spends manually entering data from physical receipts.
After photographing a receipt in the Zoho Expense app, the image is processed by the OCR engine. Within seconds, the extracted fields appear in the expense form. The employee reviews the populated data for accuracy, makes any corrections where the scan was uncertain, selects the appropriate expense category, and saves the entry. The receipt image is stored with the expense record as the backing documentation.
Auto-Scan accuracy is high for printed receipts with clear text and standard layouts, such as restaurant bills, hotel folios, and retail receipts. Performance can be lower for handwritten receipts, receipts with poor print quality, or receipts in unusual formats. For any scan result, the employee is the final reviewer and must confirm the values before saving. Zoho Expense improves scan accuracy over time as more receipt types are processed.
Zoho Expense’s Auto-Scan supports multiple languages and regional receipt formats. For Indian businesses, receipts in English are well-supported. Support for other Indian language receipts (Hindi, Marathi, etc.) may vary. For international receipts in European or Asian languages, scanning accuracy is improving with each platform update. Always review auto-scanned values for non-English receipts more carefully.
Yes. For GST-compliant receipts that display the supplier’s GSTIN and the GST amount separately, Zoho Expense’s Auto-Scan attempts to capture these fields alongside the total amount. The extracted GST data populates the tax fields in the expense entry, supporting input tax credit claims. Manual verification of the GSTIN and tax amount is recommended for any receipt being used for GST reclaim purposes.
