Record-Level Permission in Zoho Creator restricts a user's access to only the records they own or are associated with, rather than giving access to all records in a form.

What Is Record-Level Permission in Zoho Creator?

Record-Level Permission is an access control setting in Zoho Creator that limits a user’s data visibility to records they own or are specifically linked to, rather than all records in a form. With record-level permissions enabled, a portal user submitting a service request can only see their own requests in a report, even if the same report shows all requests to an admin user with broader access.

Ownership and Shared Access

A record is typically owned by the user who created it. Record-Level Permissions can also be configured to allow shared access: the record owner can grant view or edit access to specific other users. This is common in collaborative applications where a team member creates a record but other team members need to contribute to it.

Combining Role and Record Permissions

Record-Level Permissions work in combination with role permissions. A user first needs the role-level permission to view a form’s report, and then record-level scoping further limits which rows in that report they can see. This two-layer model enables fine-grained security without complex scripting: the role controls access to the feature, and record-level permissions control access to the data.
