Signing Order

The sequence in which signatories receive and sign a document in Zoho Sign, with each subsequent signatory receiving the document only after the previous one has signed.

What Is Signing Order in Zoho Sign?

Signing order in Zoho Sign determines the sequence in which multiple signatories receive and sign a document. When signing order is enabled, Signatory 1 receives the document first, and Signatory 2 only receives it after Signatory 1 has completed their signing. This enforces a controlled approval sequence.

Sequential vs Parallel Signing

Sequential signing (with signing order) means one person signs at a time in a defined order. Parallel signing means all signatories receive the document simultaneously and can sign in any order. Sequential signing is appropriate when earlier signatories have approval authority over later ones (e.g., a manager approves before the client signs). Parallel signing is faster when all signatories are peers.

Common Signing Order Scenarios

A sales contract might require: (1) Sales Director signs first to authorise the commercial terms, (2) Legal Counsel signs to approve the clauses, (3) Client signs last. Each stage ensures the appropriate internal review is complete before committing the organisation.

How do I configure Signing Order in Zoho Sign?

When adding signatories to a document in Zoho Sign, enable the Signing Order toggle. An order number field appears next to each signer. Assign numbers 1, 2, 3 (or use the same number for parallel signers in the same group). Zoho Sign will route the document in the specified order, holding each subsequent signer until their turn.

Is it possible to change the Signing Order after a document has been sent in Zoho Sign?

No. Once a document has been sent for signing in Zoho Sign, the signing order cannot be changed.
