A rule-based automation in Zoho Campaigns that performs actions such as adding contacts to lists, updating fields, or sending internal notifications based on subscriber behaviour.

What Is a Workflow in Zoho Campaigns?

A workflow in Zoho Campaigns is an automation rule that executes specific actions when defined triggers and conditions are met. Unlike a Journey which governs email sequences, a Campaigns workflow typically performs operational actions: moving contacts between lists, updating contact fields, assigning tags, or notifying team members.

Workflow Use Cases

When a contact clicks a specific link (e.g., the pricing page), move them from the Newsletter list to the Hot Prospects list and update their CRM lead status. When a contact unsubscribes, trigger a notification to the account manager. When a contact opens 5 consecutive emails, add a tag indicating high engagement.

Workflows vs Journeys

Journeys govern what emails are sent and when, based on engagement. Workflows govern what list, field, and CRM operations happen as a result of engagement. The two work together: a Journey might send a sequence while a Workflow moves contacts between segments based on how they respond to that sequence.
