Blueprint (Projects)

A process automation feature in Zoho Projects that enforces the sequence of task status transitions and mandates actions or field updates at each stage.

What Is Blueprint in Zoho Projects?

Blueprint in Zoho Projects is a workflow automation tool that defines how task statuses can transition and what actions are required at each transition. It ensures that tasks follow a defined process rather than being moved randomly between statuses, enforcing quality gates and handoff procedures.

Blueprint Configuration

You configure Blueprint by defining states (task statuses), transitions (the allowed paths between states), before-actions (mandatory fields or conditions checked before a transition), and after-actions (notifications, webhooks, or field updates triggered when a transition completes).

Example

A code review Blueprint might require that a developer moves a task from In Progress to In Review (triggering a notification to the reviewer), then the reviewer can move it to either Approved (triggering a deployment task) or Rework Needed (returning it to In Progress with a comment field mandatory).
