Resource Utilisation

A measure in Zoho Projects of how much of a team member's available capacity is being used across assigned project tasks, expressed as a percentage.

What Is Resource Utilisation in Zoho Projects?

Resource utilisation in Zoho Projects measures how much of each team member’s available working time is allocated to or consumed by project tasks. It is calculated as allocated or logged hours divided by total available hours, expressed as a percentage.

Overallocation and Underallocation

A team member allocated at 120% is overallocated — more work is scheduled than their available time allows, which will cause delays. One at 40% is underallocated — capacity is being wasted. Zoho Projects’ resource utilisation view highlights overallocated team members in red so project managers can redistribute work.

Portfolio-Level View

In a portfolio with multiple projects, Zoho Projects aggregates utilisation across all projects for each team member. This prevents a team member from being added to a new project when they are already at 100% capacity across existing commitments.
