WIP Limit

A constraint in Zoho Projects' Kanban board that restricts the number of tasks allowed in a workflow column at any one time, to prevent overloading and surface bottlenecks.

What Is a WIP Limit?

WIP (Work in Progress) limit in Zoho Projects’ Kanban board is the maximum number of task cards permitted in a specific workflow column simultaneously. When a column reaches its WIP limit, no new tasks can be moved in until an existing task moves forward. This forces the team to finish work before starting new items.

Why WIP Limits Matter

Without WIP limits, teams tend to start many tasks simultaneously, creating context-switching overhead and bottlenecks. A task stuck In Review blocks the flow and reveals that the review process needs attention. WIP limits make systemic bottlenecks visible so the team can address root causes.

Setting WIP Limits

Start with a generous WIP limit (say, team size + 2) and reduce it gradually as the team identifies and resolves bottlenecks. Too low a WIP limit in a poorly understood process causes unnecessary blocking; too high defeats the purpose of the limit.
