A Return Merchandise Authorization (RMA) is a reference number issued to a customer before they send goods back. It confirms that the return has been approved and allows both parties to track the return through the process. RMAs prevent unauthorised returns and ensure returns are handled through a controlled process.
A customer requests a return, your team evaluates the request and issues an RMA number if approved, the customer ships the goods quoting the RMA number, and your warehouse uses the RMA to match the incoming goods to the original order and process the sales return in Zoho Inventory.
RMAs give you advance notice of incoming returns so you can plan warehouse space and staffing. They prevent unannounced returns that create confusion in receiving. They also create an audit trail for warranty claims and insurance purposes.
