Offboarding in Zoho People is the structured process of managing an employee's exit from the organisation — collecting assets, revoking system access, completing final settlements, conducting exit interviews, and updating the employee record — managed through automated workflows and checklists.

What is Offboarding in Zoho People?

Offboarding is the counterpart to onboarding: it covers everything that needs to happen when an employee leaves the organisation. A poorly managed exit creates risks — company assets not returned, system access not revoked, final payments delayed, or statutory obligations missed. Zoho People manages these through an Offboarding workflow that assigns tasks to the appropriate stakeholders with deadlines.

Offboarding workflow steps

  • Resignation acceptance: HR accepts the resignation and sets the last working day.
  • Notice period management: The employee’s status is updated to On Notice.
  • Clearance tasks: IT revokes access, Finance closes expense accounts, the manager retrieves company assets.
  • Exit interview: HR schedules and documents the exit interview.
  • Final settlement: Payroll computes the final pay including leave encashment, gratuity, and any dues.
  • Record archival: The employee record is marked Inactive and retained for statutory compliance.
