What is an Employee ID in Zoho People?

An Employee ID is a unique code assigned to each employee when they are added to Zoho People. It functions as the primary identifier for that person across all HR processes: payroll, attendance, leave, appraisals, and integrations with other systems all reference this ID to ensure data is attributed to the correct individual.

Auto-generation vs manual assignment

Zoho People can auto-generate Employee IDs following a configurable format — for example, EMP001, EMP002, or a format that encodes the joining year and department (2025-SALES-001). Alternatively, HR administrators can manually assign IDs to match existing numbering conventions from a legacy system.

Why Employee ID matters

In organisations where multiple employees share the same name, the Employee ID is the unambiguous identifier. It is especially critical in payroll integrations, biometric attendance systems, and any data export or import where matching records across systems relies on a consistent unique key.
